Owner observation record

Explain the fault without guessing the part.

A useful service request separates the symptom, the check actually performed and the result. Choose the appliance to record the details that change the next question.

A hazard changes the task. Stop for smoke, sparking, burning, repeated breaker trips, violent movement or water near electrics. Do not touch a wet plug. For gas odor, leave the area and contact appropriate help from a safe location. This form is not emergency support.
Washing machine: observations that matter

Keep the drain result separate from the final spin. A wet load is not a pump diagnosis.

Do not open a filter containing hot or uncontrolled water. Emergency-hose flow does not test the powered pump.

Questions to keep with the note

  • Which test separates restricted drainage from pump performance?
  • If the tub emptied, what explains the incomplete final spin?

Example format, not a repair case: “Tub emptied; towels remained wet; final spin stopped with UE. Balanced-load result not yet recorded.”

Refrigerator: observations that matter

Record both compartments at stated times. Set points and measured temperatures are different evidence.

A recovered temperature does not establish that previously warm food is safe. Do not open refrigerant circuits.

Questions to keep with the note

  • Was the airflow or cooling fault reproduced with both compartment readings?
  • Which measured finding supports the proposed fan, sensor or sealed-system work?

Example format, not a repair case: “Freezer measured cold while fresh-food reading rose; shelf vent was obstructed. Follow-up paired readings pending.”

Dishwasher: observations that matter

Preserve the sequence: water never left, left then returned, or returned after sink use.

Do not pull a hardwired dishwasher out, detach plumbing or force a pump cover from another model.

Questions to keep with the note

  • Is the complaint incomplete pumping or sink-side backflow?
  • Will the repair include both a drain result and a check for water returning?

Example format, not a repair case: “Water dropped after Cancel/Drain, then increased after sink use. Sink connection has not been inspected.”

Clothes dryer: observations that matter

Identify vented or heat-pump design before describing the moisture route or requesting parts.

Do not exhaust a disconnected duct indoors or perform live voltage, gas or sealed-system tests.

Questions to keep with the note

  • Was the exhaust or condensate path checked for this dryer design?
  • Did the automatic cycle end early, or did a full cycle leave the same load wet?

Example format, not a repair case: “Heated cycle completed; similar load remained damp. Outside vent flow not yet observed.”

Air conditioner: observations that matter

Keep the full model with P1, FL and the first water location. Code meanings and drains differ by design.

Do not transfer Midea Duo drain or reset steps to GE ClearView, drill a drain pan or move a heavy installed unit alone.

Questions to keep with the note

  • Which model manual defines this code and outlet?
  • If the code returned after the documented drain/reset, what further test is needed?

Example format, not a repair case: “Full model and manual revision recorded; code returned after the specified drain action. Pump test not performed.”

Oven and range: observations that matter

Describe a repeatable cooking result before asking for a calibration or a replacement element.

Do not use a control-key combination borrowed from another oven. Stop for element damage, gas odor or electrical burning.

Questions to keep with the note

  • Does the repeated cooking result support calibration, or are test conditions still changing?
  • Which exact-model control sequence and limits apply before any adjustment?

Example format, not a repair case: “Same recipe, pan and rack gave repeated late completion on ordinary Bake. No calibration applied.”

Freezer: observations that matter

Treat alarm acknowledgment, cooling recovery and thawed-food history as three separate observations.

An alarm clearing does not clear thawed food. Use the official food-specific chart; never taste food to test safety.

Questions to keep with the note

  • Did temperature recover and stay stable, or did only the audible alarm stop?
  • Which finding supports mechanical service rather than another alarm reset?

Example format, not a repair case: “Alarm acknowledged; food had softened; independent follow-up temperature pending. Warm interval unknown.”

Microwave: observations that matter

Distinguish Timer, vent fan and an actual cooking cycle before describing a no-heat complaint.

Never run empty. Do not remove the cabinet, door or control panel; hazardous stored voltage can remain after unplugging.

Questions to keep with the note

  • Was the observed operation a cooking cycle or fan/timer activity?
  • If a valid heating check was abnormal, what is the professional service route?

Example format, not a repair case: “Fan ran; Timer versus Cook Time not confirmed. Heating performance remains untested.”

What to leave out

Do not put an address, serial number, payment details or a diagnosis you have not confirmed in this form. If an official manufacturer or service provider needs the serial number to check a recall or warranty, provide it privately through that provider's channel.

How this record helps

“Not draining” and “clothes wet” can lead to different questions. “Fan running” does not show that a microwave cooked. A note preserves these distinctions so the next person can ask for the missing observation instead of treating an error code as a parts order. It does not guarantee a lower callout bill or a repair.
